Perth Based| Full-Time | 12 Month Fixed Term Contract

 

We are seeking a highly capable and strategic Executive Assistant to support our COO and the Global Operations Leadership and Management teams on a 12 Month Fixed Term Contract based in the Perth Office.

 

This is a pivotal role operating at the centre of Group Operations, ensuring seamless coordination of executive priorities, reporting, stakeholder engagement and key strategic initiatives across a global portfolio.

 

About the Role

You will act as a trusted partner to the COO, providing high-level executive, operational and project support across multiple time zones. This role goes beyond traditional administration — you will drive alignment, manage critical reporting cycles, coordinate leadership forums and champion continuous improvement across systems and processes.

 

Key areas of responsibility include:

  • Executive support including complex calendar and inbox management across multiple time zones
  • Coordination of global leadership meetings, including agenda preparation, minute-taking and action tracking
  • Attendance at weekly, monthly and quarterly meetings across time zones, including participation in some out-of-hours forums as required
  • Ownership and coordination of Group and Asset-level operational reporting cycles
  • Preparation and coordination of board and executive-level documentation
  • Project coordination and process improvement initiatives across Group Operations
  • SharePoint governance and document management oversight
  • Financial administration, including SAP purchase orders and expense management
  • Complex domestic and international travel coordination

 

About You

You are proactive, detail-oriented and confident operating at executive level within a global environment. You bring strong judgement, exceptional organisational capability and the ability to manage competing priorities with discretion and professionalism.

 

You will have experience supporting senior leaders, preparing board-level documentation, managing reporting cycles and working across multiple time zones. Advanced capability in Microsoft Office, SharePoint and enterprise systems (including SAP) is highly regarded.
