Role Details:

Reporting to the Senior Vice President Operations, this role is a shared resource for operational and functional teams within the Perth Office (including Safety & Health, Maintenance, Asset Optimisation, External Affairs, Sustainability, Finance, IT and People Teams. This role is integral to enable the efficient cooperation with the Asset Based General Managers and their Personal Assistants to deliver on Group requests as required.

 

The role requires the ability to work autonomously on projects and initiatives for the multiple stakeholders which will require a high level of initiative, excellent attention to detail, strong communication skills, as well as the coordination of events and other administration duties on a day-to-day basis.

 

This role is offered on a permanent full time basis located in our Perth office.

In this role, you will:

  • Provide comprehensive administrative and logistical support to the Senior VP Operations, VP Asset Optimisation, VP External Affairs and VP Rewards, Benefits & Global Mobility including managing calendars, scheduling meetings, preparing agendas, coordinating travel arrangements and reconciling travel and other expenses and invoices.

  • Coordinate with the Personal Assistants to the GMs at the Australian Assets, for Corporate and investor visits, consolidation of monthly, quarterly reports, annual budgets, asset strategy plans and other functional requests from the operations teams.

  • Provide a diplomatic and courteous “first point of contact” for all members of the Perth Office team. Act as a point of contact for internal and external stakeholders, including board members, senior executives, legal counsel, and regulatory bodies.

  • Collate annual budget preparation material through circulation of prescribed preparation templates, schedule, budget cycle directives and historic management account reports.

  • Assist in monitoring compliance with legal and regulatory requirements including Director duties and obligations are met as a functioning Board for Gruyere Joint Venture with Gold Road Resources Support the preparation and submission of regulatory filings, reports, and disclosures to relevant authorities in a timely manner.

  • Coordinate and attend various events, meetings (board, committee etc) and interfaces as required to take minutes ensuring completeness, accuracy and timely distribution of approved minutes and related notes.

  • Ensure requests/action items/due dates are proactively followed up and resolved in a timely manner.

 

You will:

  • Have extensive experience as an Executive Assistant, preferably supporting senior management.

  • Have excellent organization, time management and communication skills and the ability to work effectively under pressure across multiple time zones.

  • Have extensive prior experience maintaining strict confidentiality when dealing with sensitive information

  • Be a skilled collaborator with ability to build trust and relationships internally and externally.

  • Possess Advanced Microsoft Office application skills are essential and SAP knowledge would be highly desirable.
